How it was
Fittings lists from the Vlecad design package were turned by hand into work orders for what comes from stock and purchase orders for what has to be ordered.
Incoming purchase invoices then still had to be matched to the right order.
What we built
- 01
You send the fittings list on Telegram. The assistant reads every tab, looks up each item in Robaws and asks when there are several options. It remembers the matches you chose.
- 02
You see a proposal first. After you confirm, it creates a work order for what comes from stock and purchase orders per supplier for the rest.
- 03
Every night new purchase invoices are read and matched to an open order, following fixed rules. Anything uncertain is left aside and goes on an overview.
- 04
Questions about stock, suppliers or invoices in Robaws can be asked in plain language.
Where a person decides
Doubt about an item always goes to a person. Nothing is created without confirmation, and with invoices nothing is ever deleted, paid or overwritten.
